Generating a Commercial Invoice in Ocean Export
This guide explains how to generate a Commercial Invoice for your Ocean Export shipments, utilizing the tools available in the system.
Step 1: Access the Commercial Invoice
- Navigate to the Shipment:
Open the shipment details for which you want to generate the Commercial Invoice (e.g., OEX-23030011). - Open the Tools Menu:
Click on the Tools button located under the House Bill of Lading (HBL). - Select Commercial Invoice:
From the dropdown menu, select Commercial Invoice. A new window will appear, displaying a preview of the invoice.
Step 2: Review the Commercial Invoice Layout
- Invoice Information:
- On the left-hand side, view the Shipper/Exporter(Seller) and For Account Of (Consignee) along with the Notify Party.
- On the right-hand side, find the Invoice Number and Date, along with any information needed for L/C No. and L/C Issue Bank (L/C is known as Letter of Credit.)
- Basic Shipping Data:
Below the invoice details, the following shipping information will be displayed:- Departure Date
- Place of Receipt
- Port of Loading
- Final Destination
- Vessel No. and Voyage No.
- Term
Step 3: Customize the Layout
- Choose Layout Options:
- Standard Layout: The default layout for invoices.
- Widen Description of Goods: Select this option if the description of goods is lengthy for improved visibility.
Note: You can toggle between these layout options to find the one that best fits your cargo details. If you choose the "Widen Description of Goods" option, you may return to the Standard Layout if needed.
Step 4: Fill in Invoice Details
- Invoice Chart:
The main chart of the Commercial Invoice displays the following columns from left to right:- Shipping Marks (including container number, seal number, and PO number)
- Qty (Quantity) / UOM (Unit of Measure)
- Description of Goods
- Unit Price
- Total Amount
- Editable Fields:
- In the preview window, you can modify the grey columns to adjust any details, such as adding or deleting information.
- For example, add a phone number for the Consignee:
- Consignee’s Phone: (999) 123-456
Note: Changes made here are one-time adjustments and will not be saved in the system.
Step 5: Finalize the Document
- Signature Section:
At the bottom of the invoice, a box next to the company name is checked by default. You can uncheck this box at any time during the preview. - Save or Send the Invoice:
After reviewing and making necessary changes, you can save, print, or email the invoice:- PDF: Download the invoice as a PDF.
- Print: Print a hard copy of the invoice.
- Email: Send the invoice via email.
There is also an option to generate a Word version of the invoice upon request.
- Document Storage:
All generated documents will be automatically saved in the Doc Center for easy future access.
By following these steps, you can efficiently generate and customize a Commercial Invoice for your Ocean Export shipments.
