How to Check AR/AP Status through the Volume & Profit Report
To ensure invoices are accurately recorded for each shipment, this guide will cover a method that involves checking the profit of each shipment using the Volume & Profit Report.
Who Can Access by Default
- General Manager
- Sales Manager
Users with other roles have restricted access. Users with other roles may gain access to this feature upon approval from an Admin or General Manager, and GoFreight support agents can assign it with or without changing the user's role.
Check Shipment Profit with the Volume & Profit Report
- Access the Volume & Profit Report
- Navigate to the Report section and select Volume & Profit Report.
- Select the Report Type
- Choose Volume & Profit to check the profit of each shipment.
- Set the Date Range
- Select the relevant Period for the report. You can filter by Post Date, ETD (Estimated Time of Departure), or ETA (Estimated Time of Arrival). For example, select Post Date and choose Last Month.
- Note that the Post Date in the Volume and Profit Report refers to the Shipment Post Date, instead of the Invoice Post Date.
- Choose the Shipment Type
- Select the shipment type you want to check. For example, you can choose Ocean Import.
- View Profit Details
- If you want a breakdown of how the profit is composed, click the box next to Show Profit Detail.
- Select the Output Type
- Decide how you would like the report to be presented. For instance, choose Customer to organize the data by customer.
- Choose Additional Output Criteria
- Under the Output By section, choose how to group the data. For example, select MBL/MAWB No./Warehouse B/L No. for Master B/L, Master Air Waybill, or Warehouse B/L Number, or HB/L / HAWB No. for House B/L or House Air Waybill Number.
- View the Report
- Click View to generate the report. The shipments will be listed by customer, along with each Master Bill of Lading (B/L) number and House Bill of Lading (B/L) number.
- Review the Total Count
- The total shipment count will adjust based on any changes made to the output criteria. For example, removing House B/L and House Air Waybill will modify the count.
- Analyze the Profit Details
- Scroll to the right to view the profit details. The breakdown will display various invoice types and highlight any negative profits. Look for red entries, which indicate negative profits, and investigate the causes.
- Filter for Negative Profits
- If you want to focus on shipments with negative profits, navigate back to the filter section. Select Negative Only and click View. This will show only the shipments with negative profit, helping you identify and resolve issues.
