How to Create a Booking in Ocean Export

Overview:
This guide explains how to create a booking in the Ocean Export module of the GoFreight system. Follow these steps to enter the required shipment details, save the booking, and convert it into a shipment.

Step 1: Start a New Booking for Ocean Export Shipments

  1. Go to the Ocean Export module.
  2. Click on New Booking to create a new booking.

Step 2: Fill in Booking Details

  1. Booking No.:
    • The system automatically generates a Booking Number.
    • If you prefer a custom booking number, uncheck the "Using AutoGen" box and enter your desired number.
      (You can recheck the box to auto-generate the number again.)
  2. Booking Date:
    • The default booking date is set to today's date.
    • To change the booking date, click the calendar icon and select your desired date.

Step 3: Fill in Shipment Information

  1. Carrier Booking No.: Enter the carrier's booking number (e.g., BK20230310001).
  2. Carrier: Select the carrier (e.g., OOLU).
  3. Actual Shipper: Enter the shipper's name (e.g., 3M COMPANY).
  4. Consignee: Enter the consignee's name (e.g., DUMMY CONSIGNEE).
  5. Notify Party: Enter the notify party (e.g., MOORE-QUINN).

Step 4: Container and Vessel Information

  1. Vessel: Select the vessel (e.g., AGUADA).
  2. Voyage: Enter the voyage number (e.g., V2303).
  3. Container TP/SZ (Type and Size): Add and select the container type and size from the available options.
    • To add multiple container types, click the plus (+) button and enter the required details.
  4. Quantity: Enter the quantity for each container type.

Step 5: Location and Dates

  1. Place of Receipt: Enter the place of receipt and Place of Receipt ETD (Estimated Time of Departure).
  2. Port of Loading: Enter the Port of Loading (e.g., LONG BEACH, CA) and the ETD (e.g., 2023/3/12).
  3. Port of Discharge: Enter the Port of Discharge (e.g., SHANGHAI, CN) and the ETA (e.g., 2023/4/6).
  4. Place of Delivery: Enter the Place of Delivery (e.g., NINGBO PT) and the ETA (e.g., 2023/4/8).
  5. Final Destination: Enter the Final Destination (e.g., NINGBO PT) and the ETA (e.g., 2023/4/8).

Step 6: Expand for Transshipment Details

  1. Click the More (in green) button at the bottom to reveal additional columns for transshipment information.
  2. Fill in any additional details as needed.

Step 7: Cargo Information

  1. Cargo Type: The default is General Cargo. You can select another type based on the shipment requirements.
  2. Cargo Pickup: Enter the pick-up location (e.g., ST. GEORGE WAREHOUSE).
  3. Trucker: Enter the trucker's name (e.g., PROJECT TRUCKER).
  4. Delivery Location: Enter the delivery location (e.g., OAKLAND INT'L CONTAINER TERMINAL).

Step 8: Additional Information

  1. P.O. No.: Enter the P.O. Number for the shipment.
  2. Container List: Include any container details.
  3. Commodity: Provide details of the commodities involved.

Step 9: Booking Remarks

  1. Go to the Booking Remarks section to add notes for:
    • Booking: Booking instructions.
    • Shipping Instruction: Shipping instructions.
    • Manifest by Vessel: Manifest instructions for the vessel.

Step 10: Save the Booking

  1. Once you’ve filled out all the required fields, click Save to save the booking details.

Step 11: Convert Booking to Shipment

  1. After saving the booking, you’ll see the Tools button on the top-right of the page.
  2. Click on Tools, and you will see several functions:
    • Create MBL and HBL: To create a Master Bill of Lading (MBL) and House Bill of Lading (HBL).
    • Generate Forms: Forms like the Pick-Up and Delivery Order or Booking Confirmation can be generated.
  3. Click Create MBL and HBL to proceed.
    • A pop-up will appear asking for confirmation to create the MBL and HBL. Click YES to confirm.
  4. The system will redirect you to the Shipment page, where the details you entered in the booking stage will be visible.
    • The MBL will be displayed at the top in the black bar, and the HBL will be shown at the bottom in yellow.
