How to Generate a Booking Confirmation for Ocean Export Shipments
This guide explains how to generate and manage a Booking Confirmation for Ocean Export Shipments, including selecting document titles, entering shipment details, and saving the confirmation.
1. Accessing the Booking Confirmation Form
- Navigate to the Ocean Export Booking page.
- Click the Tools button to generate the Booking Confirmation form.
2. Selecting the Document Title
At the top of the form, you can select the document type:
- Booking Confirmation (Default)
- Booking Order
- Delivery Notification
Additionally, you can select the Send-To Party (located above the Shipper column):
- Actual Shipper / Consignee
- Shipping / Overseas Agent
3. Key Sections of the Form
Shipper and Consignee
This section, located on the left-hand side, contains the details of the Shipper and Consignee.
Booking Information
- The HBL No. (House Bill of Lading Number) will appear once the shipment is created.
- If the shipment is still in the booking stage, the HBL No. field will remain empty.
Vessel and Route Information
This section includes:
- Vessel and Voyage
- Place of Receipt
- Port of Loading & Discharge
- ETD (Estimated Time of Departure)
- ETA (Estimated Time of Arrival)
Cargo Information
This section displays details about the shipment, including:
- Commodity
- Container Type and Quantity
- Special Conditions (e.g., Dangerous Goods, L/C (Letter of Credit), Stackable) – Select YES or NO as applicable.
Cargo Delivery Location & Cut-Off Date
- This section includes cut-off dates for Port, Rail, Warehouse, and Documentation (DOC).
Remarks
Enter any additional instructions in this section.
4. Saving and Exporting the Booking Confirmation for Ocean Export Shipments
After confirming all details, navigate to the top of the form. You have three options:
- PDF – Download a PDF version of the booking confirmation.
- Print – Print the document.
- Email – Send the confirmation directly via email.
Regardless of the option you select, the Booking Confirmation will be automatically saved in the DOC Center within the shipment file.
