How to Generate a Trial Balance in GoFreight ?

A trial balance is a summary of the ledger accounts along with their respective debit and credit balances. This report will display both the beginning and ending balances, with the total debits equalling the total credits.

Who Can Access the Trial Balance

By default, only the General ManagerAccounting Manager, and users with the Accounting role have access. Users in other roles can access this feature if approved by an Admin or General Manager. GoFreight support agents can also grant access, with or without modifying the user’s role.

Generating a Trial Balance in GoFreight

To generate a Trial Balance in GoFreight, please follow the steps below for either (A) Single Currency or (B) Multiple Currency.

Note: If you would like to enable “Multiple Currency”, please contact the GoFreight support team and let us know which currencies you wish to activate. Our agent will assist you with the setup. Please note that this multi-currency setting is irreversible; once enabled, it cannot be disabled.

Navigate to “Accounting” > “Report” > “Trial Balance” on the navigation bar.

A. For Single Currency:

  1. Select the date and office, then click “Preview” to preview your trial balance. 

  2. The sample Trial Balance will display each G/L code's (General Ledger Codes) debits and credits for the selected period. The beginning and ending balances will be calculated. Click on the G/L No. Hyperlink for more details. This will take you to the G/L Detail (Landscape) report.

  3. You can download the report as a PDF or Excel file, or print it directly from the preview page by clicking the buttons at the top.

B. For Multi-Currency:

  1. If you are using multi-currency, you have three formats for the Trial Balance to choose from:

(i) Select Standard Style and click “Preview.”

This format shows the Beginning Balance, Debit, and Credit for the period, and it calculates the Ending Balance in the main currency.

(ii) Choose Display Balance by Debit/Credit and then click “Preview.”

This option separates debit and credit amounts in both the Beginning and Ending Balances.

(iii) Select Display Currency Detail and click “Preview.”

This format displays any transactions in other currencies, along with the corresponding amounts.

Multi-Office Scenario

When selecting “All” for Excel export, the report includes each branch’s data separately, with a consolidated total displayed at the end. While the Preview and PDF outputs remain unchanged.
