How to Generate the Agent/Local Statement?
The Agent/Local Statement, also referred to as the 'Statement of Account' (SOA), provides a convenient way for you to review and reconcile invoices with your customers, vendors, or oversea agents.
By default, only users with the roles of General Manager, Accounting Manager, and Accounting can generate an Agent/Local Statement in the GoFreight system.
Users in other roles can request this functionality with approval from an Admin or General Manager, after which a GoFreight support agent can grant access.
To generate the Agent Statement, please follow these steps:
- Navigate to "Accounting" > "Report" > "Agent/Local Statement" on the left side navigation bar.
- Select "Partner". You can select a Trade Partner or an Account Group. To learn more about “Account Group”, please refer to this article: How to Set Up an Account Group for Trade Partners?
- Choose "Period", and filter by "Open" invoices. Then, click “Search”. Note that the 'Post Date' in the Agent/Local Statement refers to the Invoice Post Date.
Note: If you find that no results appear after clicking 'Search,' please check if the option 'Invoice (Local A/R) Received Only' under 'More Options' has been selected. If so, uncheck it and try generating the statement again. - The upper section will display all unpaid/open invoices. Check the invoices you wish to reconcile with partners.
- Once the invoices are listed, you will find functions in the upper right-hand corner for search and config related to invoices or D/C notes for easy review. The config option allows you to adjust page viewing settings for the displayed invoices and D/N notes.
You can use the search function by typing in the invoice number, file number, or reference number to cross-check the information at hand. - If necessary, select “Attach Original Invoice(s)”, enter a name or internal reference number for the statement in “Document ID” (e.g., “Test”), and click “View” to see the Print Preview.
- On the preview print page, you have the option to view either the statement or the original invoices.
- From the preview page, you can download as PDF, Excel, print, or send via email by clicking the corresponding buttons at the top.
Note: The statement will be downloaded along with the original invoices. - You can also click Download PDF or Download Excel directly.
- The document named “Test” will appear in the Generated Document List below.
