How to Manage Contact Information for Trade Partners
Introduction
The Contact Person Information section allows you to maintain a comprehensive list of contacts associated with your trade partners. This feature ensures that key contact details are readily available for documents and communication purposes.
Benefits
- Efficiently track multiple contacts for each trade partner.
- Easily add email addresses for each contact.
- Customize contact details to appear on documents when necessary.
When to Use
Utilize this section when:
- You need to maintain contact details for a trade partner's representatives.
- You want to include contact information on documents such as invoices, shipments, etc.
What Can Be Changed
- Contact person’s name and additional details.
- Email addresses associated with the contact.
- Indication of whether the contact is marked as a representative for document display.
Which Role Can Access by Default
- General Manager
- Operation Manager
- Accounting Manager
- Accounting
Users in other roles can request this functionality with approval from an Admin or General Manager, after which a GoFreight support agent can grant access.
Step-by-Step Instructions
1. Adding a Contact Person
- Navigate to the Contact Person Information section within the trade partner profile.
- Click the "+" button to add a new contact.
- Enter the contact's name and any other relevant information.
2. Adding Email Addresses
- Click the blue pencil icon next to the contact's name to edit their details.
- Enter one or more email addresses for the contact.
3. Adding Additional Contact Information
- Click the "+" button next to the name to add more information, such as gender or birthday.
4. Setting Contact to Display in the Print Address on Documents
- To have the contact appear as a representative on documents, check the Rep box.
- To include their email address on documents, check the Email box.
5. Saving the Contact Information
- Click Save to finalize the contact's details.
