How to Use the Vessel Schedule in Ocean Export

1. Creating a New Vessel Schedule

  1. Navigate to New Vessel Schedule under Ocean Export.
  2. Enter the mandatory fields: Vessel Schedule No. and ETD (Estimated Time of Departure).
  3. Select the Carrier (e.g., OOCL).
  4. Enter the Vessel Name (e.g., AARYA).
  5. Input the Port of Loading (e.g., Long Beach, CA).
  6. Input the Port of Discharge (e.g., Keelung).
  7. After entering all vessel details, proceed to add bookings that you have received from other freight forwarding companies.

2. Adding Bookings

  1. Click on + Add Booking on the right-hand side. A new booking will appear in a yellow bar. 
  2. By default, the Booking No. will be system-generated after saving files. To enter it manually, uncheck the Booking No. checkbox and input your desired Booking No. (e.g., TEST123).
  3. The following details will be automatically synchronized:
    • Carrier
    • Port of Loading
    • Port of Discharge
    • Vessel Name
  4. Enter the Booking Details:
    • Package: (e.g., 100 Cartons)
    • Weight: (e.g., 2500 KGS)
    • Volume: (e.g., 10 CBM)
  5. Click Save.
  6. To add another booking, repeat the process. A new booking will appear in a blue bar.
  7. Enter the second booking details:
    • Package: (e.g., 200 Cartons)
    • Weight: (e.g., 4000 KGS)
    • Volume: (e.g., 12 CBM)
  8. Click Save.

3. Creating a Container and Load Plan

  1. Navigate to the Container List in the Vessel Schedule section. 
  2. Click on the + Green Button to add a new container.
  3. Enter the Container Number (e.g., TEST54322).
  4. Select the Container Type and Size (TP/SZ) (e.g., 20GH).
  5. Enter the Seal No. (e.g., TEST000).
  6. Click Save.
  7. At the end of each row in the container list, you will find the Load Plan column. In this column, the Action button provides two options: Modify and Print. Click Modify to adjust the load plan.
  8. In the Load Plan window, select the bookings to be included in this container. The total package, weight, and volume will be auto-calculated.
  9. Click Save to confirm the load plan. The Booking No. field in the Container List will now display the linked bookings.
  10. To print the load plan, click Action > Print.

4. Transferring the Container to a Shipment

  1. Select the container by checking the box next to the Container No.
  2. Click on Create MB/L (Master Bill of Lading).
  3. Choose one of the following options:
    • Create 1 MB/L (for multiple bookings under one MBL)
    • Create 1 MBL for Each Booking (for individual MBLs per booking)
  4. Confirm the action in the pop-up window by clicking OK.
  5. The system will generate the MBL, and a confirmation message will appear.
  6. Click on the File No. link to go directly to the shipment.

5. Managing Vessel Schedule Records

  1. Navigate to the Vessel Schedule List.
  2. Utilize the tools located at the upper right-hand side:
    • Filter: Enter criteria (e.g., Carrier = OOCL, POL = Long Beach, CA) and click Apply Filters.
    • Config: Drag and rearrange columns for better visibility or uncheck unnecessary columns. Click Apply.
    • Excel: Set column preferences using Config before downloading. Click Save & Download.
