How to Use Trade Partner Aliases for Faster Searches

Introduction

The Trade Partner Alias feature allows you to create shortened names or nicknames for trade partners, enhancing the ease of searching for and selecting them during shipment entry. This functionality improves workflow efficiency by minimizing the need to repeatedly type full trade partner names.

  • Time-saving: Reduces manual typing when inputting shipment entries.
  • Consistency: Standardizes the reference to trade partners across different entries.

Where to Use

This feature is utilized in the following scenarios:

  • Adding or managing trade partners in the Trade Partner section.
  • Searching for trade partners while inputting shipment entries or utilizing list views.

What Can Be Changed

  • Alias Name: Assign a custom alias to each trade partner for easy identification.
  • Search Functionality: Search for trade partners using their alias in both entry forms and list views.

Which Role Can Access by Default

  • General Manager
  • Operation Manager
  • Accounting Manager
  • Accounting

Users in other roles can request this functionality with approval from an Admin or General Manager, after which a GoFreight support agent can grant access.

Step-by-Step Instructions

1. Setting Up a Trade Partner Alias

  1. Navigate to the Trade Partner section.
  2. Open the profile of an existing trade partner or create a new trade partner.
  3. In the Alias field, enter a short nickname or alias for the trade partner. For instance, for "Tech Ten M Electric Inc", you might use "10M" as the alias.
  4. Click Save to apply the alias.

2. Using the Alias for Searches

  1. When inputting a shipment entry or searching for a trade partner, access the trade partner search field.
  2. Rather than typing the full name, enter the alias name (e.g., "10M"). The system will automatically locate the trade partner based on the alias.
  3. The alias will be displayed to the right of the search field for easy reference.

3. Using Alias in List Views

  1. In list views, go to the filter section.
  2. Utilize the trade partner alias to filter and locate the desired trade partner more efficiently.
